How to navigate Zoom and Microsoft Teams
In today’s blog, we are going to cover how to join Zoom meetings and Teams meetings. Joining online meetings is becoming more and more important. The financial services industry is becoming increasingly remote, so important conversations between clients and candidates, colleagues and businesses are progressively likely to be held on an online service like Microsoft teams or Zoom.
Join a Teams meeting on the web
If you have been asked to join a Team’s meeting, you should receive an invitation via email. It isn’t necessary to have the Teams app to join a teams call, as long as you have the email invitation you can join on the web:
- In your email invite, select Click here to join the meeting
- You can also use a dial-in number and conference ID from the email to call in. These should be included in every teams invite
- You have three choices
· Download the Windows app: Download the Teams desktop app
· Continue on this browser: Join a Teams meeting on the web
· Open your Teams app: If you already have the Teams app, go right to your meeting
- Type in your name
- Choose your audio and video settings
- Select Join now
- Depending on meeting settings, you’ll get in right away, or go to a lobby where someone in the meeting will admit you
Join a Teams meeting from the app
Often times, a team invite will have a meeting invitation attached, if you accept this, the meeting will go straight into your calendar.
- From your Calendar, select Join on a meeting before it’s started, or one that’s in-progress.
- Turn on your camera, select Background filters, and choose how you’d like to appear:
· Select a custom background.
· Select Blur.
- Choose your audio settings.
- Select Join now
When you are in the Team’s meeting you need to make sure that your Camera and Mic are both on and working. The buttons for these are usually down the bottom however just look around for the picture below. The first button is for the camera- if this has a line through it means it is turned off. To turn this back on just click it and the line should go away and turn on the camera. The second button is the mic, and the same thing applies as for the camera. To turn off your camera or mic, simply click the camera icon or the mic icon.
How to join a zoom meeting
Joining a zoom meeting with the meeting ID is simple if you know how:
- Search for ‘Zoom’ and in the top right-hand corner of the website you should see 3 buttons, ‘join’, ‘host’ and ‘login’.
2. Click join, this should take you to a page that allows you to enter a ‘Meeting ID’
3. The organiser of the zoom meeting should have provided you with this code. Once you have entered your code and selected ‘join now’ A pop-up window will advise you to open or download the application.
4. Click Cancel in the pop-up window, then click the link that says ‘Join from Your Browser’ this allows you to use zoom without having to download the application.
5. Next select your camera and microphone settings, if this is your first time using zoom, it may ask for access to your camera and microphone.
6. You must accept this and click join. You will then be asked for a display name and once you have done that, you should be in the meeting!
How to Join a Zoom meeting using a link-
- You should have received an invitation before joining a zoom. This could have a calendar meeting invite attached to it too, which if you accept will put the meeting in your calendar automatically.
- The invitation may have a link to the zoom attached, when it’s time for the meeting you can click this link.
- A pop-up may come up asking you whether you want to download the app or join from your browser. If you already have Zoom downloaded then you can use it from the app, but those who don’t just need to press ‘join from your browser’.
- From there you will need to grant zoom access to your camera and microphone.
- Then simply enter your display name and press join.
Your panel should look something like this, if there is a line through the camera icon, it means that your camera is off. If there is a line through the microphone icon it means that your mic is muted. This can be rectified by simply clicking the icons.
How to set up Teams and Zoom meetings
- Log in to your Microsoft Teams account.
- Go to the calendar tab on teams, from there you can create scheduled meetings.
- Click the ‘new meeting’ button in the top right above your calendar.
- Add participants to your zoom by entering their name, number or email.
- You can give your meeting a name, a date and a start time and end time.
- You have the option to repeat this meeting and add details to it.
- The meeting will be sent to all the participants with a calendar invite, after you click save, you will have the option to ‘copy link’ which you can share to participants to allow them to join via link.
